Terms and Conditions for Pet Owners using The Meadow Room
1. Interpretation
The following shall have the following meanings:
Client: the pet owner whose order for the Services is accepted by Dignity Pet Crematorium.
Contract: an agreement for the supply of Services as may be described below or otherwise agreed by the parties and shall include these terms;
Dignity: Dignity Pet Crematorium is the trading name of Dignity Pet Crematorium Ltd, a company incorporated and registered in England and Wales under company number 04317817 whose registered office address is at Brickfields, Odiham Road, Winchfield, Hook, Hampshire RG27 8BU.
Services: the services and/or the goods described in the Contract;
2. Contract
2.1. These terms shall apply to the provision of the Service of The Meadow Room to the Client. No order of the Client shall be binding and no Contract shall arise until the Client’s order is accepted by Dignity expressly or by Dignity supplying any of the Services. Each Contract shall comprise these terms, Dignity’s general terms & conditions and any additional terms that are agreed in writing.
2.2. If any Contract contains provisions which conflict with these terms, those provisions of the Contact will prevail.
3. Payment
3.1. The charges for the Services are as set out in the Contract and shall be inclusive of any VAT to the extent as stated in the Contract; otherwise VAT shall be payable in addition.
3.2. Payment shall be on or before supply of the Services, within 5 working days of supply of the Services or at the times stipulated in the Contract.
3.3. The Client shall be responsible for any costs incurred in recovering late payments.
4. Scope of Service
4.1 The Meadow Room is provided as a peaceful and private space for euthanasia.
4.2 The euthanasia service is carried out by an independent, qualified veterinary surgeon who is solely responsible for the procedure.
4.3 Dignity Pet Crematorium accepts no liability for the euthanasia process itself, including its administration, any medical decisions, or the outcome.
5. Euthanasia Service and Fees
5.1 The fee paid includes both the use of The Meadow Room and the euthanasia service provided by the veterinary surgeon.
5.2 The Client gives Dignity permission to pay the veterinary surgeon on their behalf
5.3 The Client is aware that the euthanasia service is provided by another supplier and not Dignity
5.4 It is the Client’s responsibility to pay for the goods and services
5.5 Dignity will pass the exact amount of the euthanasia fee on to the Client and it will be shown separately on our invoice.
5.6 The euthanasia fee Dignity pays for is in addition to the cost of our own service (use of The Meadow Room).
5.7 Dignity will pay the veterinary surgeon on the Client’s behalf for the euthanasia service
5.8 The veterinary surgeon is an independent provider, and any concerns regarding the euthanasia procedure should be directed to them by the Client
6.Aftercare and Handling of Your Pet’s Remains
6.1 If you choose to leave your pet in our care after euthanasia, we will provide individual cremation in accordance with our standard working practices.
6.2 If you choose to take your pet’s remains home or use another aftercare provider, you must comply with Animal By-Products Regulations regarding the lawful handling and disposal of animal remains.
6.3 We accept no responsibility for the transport, storage, or handling of your pet’s remains once they leave our premises.
7. Use of The Meadow Room
7.1 You are responsible for your conduct and the conduct of your pet whilst at Dignity.
7.2 You must keep your pet under control at all times
7.3 You will have exclusive access to The Meadow Room for up to two hours.
7.4 The room must be respected and treated with care. Any damage caused beyond reasonable wear and tear may be chargeable.
7.5 You may choose to have euthanasia take place in the private garden if the weather allows.
8. General Conditions
8.1 You must arrive on time for your appointment. Please wait in your car until your chosen veterinary surgeon escorts you to the Meadow Room. Late arrivals may result in a reduced time slot.
8.2 If you require any assistance during your visit, please notify a member of staff.
8.3 The use of The Meadow Room is subject to our policies, which may be updated from time to time.

Terms and Conditionss for Veterinary Surgeons Using The Meadow Room
These Terms and Conditions apply to veterinary surgeons performing euthanasia in The Meadow Room. By booking and using the facility, you agree to the following:
1. Arrival and Preparation
1.1 You must arrive at least 15 minutes before the scheduled appointment time.
1.2 You are responsible for meeting the pet owner and escorting them to The Meadow Room.
2. Euthanasia Procedure
2.1 You must carry out euthanasia in full compliance with RCVS guidelines and best practices.
2.2 You must obtain and retain a signed euthanasia consent form from the pet owner before proceeding.
2.3 You must clearly explain the euthanasia method to the owner before starting.
3. Professional Requirements
3.1 You must be a fully registered veterinary practitioner with the RCVS.
3.2 You must hold the necessary licenses to carry, store, and administer euthanasia drugs.
3.3 You must dispose of all drugs and sharps in accordance with Clinical Waste legislation.
4. Use and Care of The Meadow Room
4.1 You must ensure The Meadow Room is left in the same condition as it is found.
4.2 All lights and heating must be turned off, and the room must be locked when leaving.
4.3 All waste must be disposed of appropriately in designated containers.
5. Pet Handling and Aftercare
5.1 If the owner has opted for individual cremation at Dignity, you must transport the pet to the crematorium cool room with dignity & respect.
5.2 You must observe safe handling and lifting procedures at all times
5.3 The pet must be clearly identified with a name collar and accompanying ID paperwork.
5.4 You must email or WhatsApp confirmation to Dignity with the grid reference location of the pet in the cool room.
General Conditions
6.1 If you require any assistance, you must notify a staff member immediately.
6.2 Failure to comply with these terms may result in refusal of future bookings.
